When a document may be requested
The academy may request an identity, age or guardian document only to:
- verify an applicant’s identity or age category;
- verify that a person giving consent is an adult parent or lawful guardian;
- complete a stated admission or membership requirement;
- meet a documented shooting-association, competition or legal requirement; or
- investigate suspected impersonation, fraud or misuse.
Identity documents are not required for a general website enquiry and will not ordinarily be collected merely to request an initial trial unless identity or age verification is necessary for that booking.
Aadhaar and acceptable alternatives
Aadhaar is not mandatory. The academy will not insist on one particular government document when a suitable lawful alternative is available. An unmasked Aadhaar copy must not be uploaded or sent to the academy. If Aadhaar is voluntarily used for a stated verification purpose, only a properly masked copy may be accepted. Applicants should conceal information that the verification request does not require.
Secure submission and access
Any requested document must be shown in person or submitted through the designated secure academy process. Do not send documents through ordinary email or WhatsApp. If electronic submission becomes necessary, use only a secure upload route specifically designated by the academy for that request.
Access is limited to personnel assigned to admission or compliance verification. A document may be shared with a named sporting body, competition organiser or public authority only when necessary and lawful. The applicant or guardian will be told the recipient and purpose before a non-routine disclosure.
Use, retention and deletion
Document images are not used for marketing and will never appear on a public webpage or digital card. Wherever possible, the academy retains only the document type, verification result, verification date and a masked reference after verification. A full image is ordinarily deleted within 30 days after verification unless a specifically identified law or sporting-body requirement requires it for longer.
Applicants under 18
A guardian document is used only to verify adulthood and authority to act for the applicant. It is not made visible to the child, other members or the public, and only the minimum information needed for verification should be requested.
Access, correction or deletion.
Email sharmashootingacademy@gmail.com with the subject Identity Document Request. Include the application or member reference if available, but do not attach a document unless a secure method is provided and the academy specifically requests it.
